Prepare a request for quotation that makes supplier offers easier to compare.
Specify the material and presentation
An RFQ should identify the compound, requested quantity and whether the order concerns bulk material or finished vials. State the required documentation separately from packaging preferences. If a requirement is still undecided, mark it as a question rather than leaving suppliers to assume a specification.
Separate unit price from total order cost
Request a breakdown of material, packaging, artwork, shipping and any documentation charges. Confirm the quote currency, validity period and payment milestones. Compare quotations using the same quantity and delivery assumptions.
Define acceptance before placing the order
Record which identifiers, documents and packaging checks your receiving team will use. Agree on the process for missing paperwork, damaged shipments or a mismatch against the written specification. Keep the approved RFQ with the purchase order.
