A practical checklist for comparing documentation, communication and order requirements.
Start with a written specification
Before requesting a quote, define the compound name, required quantity, presentation and documentation you need. Ask the supplier to confirm each requirement in writing so that competing offers can be compared on the same basis.
Request batch-specific documentation
Ask which documents will accompany the proposed batch. Check that the product name and lot number can be linked to the supplied material, and ask how supporting reports can be verified. A general example report does not establish the properties of a different batch.
Clarify the commercial details
Confirm the minimum order quantity, lead time, packaging, shipping terms and process for handling a discrepancy. Request a complete quotation before approving an order.
Keep a procurement record
Save the agreed specification, quotation and correspondence with the batch documents. These records make receiving checks and future reorders easier.
